In this article, we’ll show you how to set up and manage Teams in Nimble LMS 2 to reflect your organisation’s structure and control data visibility. You’ll learn how the Teams hierarchy affects what your administrators can see and do, as well as how to create, edit, and delete teams within your account.
Top tips before you begin
- Teams must be created before learners can be added to them: If you’re just getting started with Nimble LMS, you should set up your Teams structure before creating users.
- Teams are hierarchical: Because teams are hierarchical, a user added to a parent team can access all data added to or shared with their nested teams as well.
- Team names must be unique: You might have offices in London and New York that each have an "Accounts" team – in this case, you might call these teams "London - Accounts" and "New York - Accounts" respectively to avoid confusion.
- Account admins see everything: While Account admin users can be added to a team, they are never restricted to that team; they will always be able to see all data in the LMS. Only admin users with the roles user admin, course admin, learner admin, enrolment admin or results reviewer will be restricted by teams.
- Deleting a team is permanent: You can't restore a deleted team and Nimble aren't able to restore the team for you - so be sure you really want to do it!
How to use teams
The Teams feature allows you to restrict what data your administrators have access to within the LMS. By setting up a hierarchy in your Account settings, you can ensure that specific administrators only view the users and courses relevant to their areas of responsibility.
How Teams affect administrator access
It is important to understand how being added to a team changes what an administrator can see:
- Admins added to a team: When an admin user (who is not an Account admin) is added to a team, they will only see courses in Manage courses that are shared with that team. Similarly, they will only see users in the Users section that have been added to that team. In terms of reporting, they will only see enrolments for users in their team on courses shared with their team.
- Note: If an admin adds a new course or user, these are automatically shared with or added to the team the admin belongs to.
- Admins not added to a team: If an admin user is not added to any teams, they can see all courses, all users, and all enrolments across the entire LMS.
Example
To provide an example, let’s imagine that your company has an office in London and an office in New York. In both offices, you have the same set of departments.
You have a new member of your London team (Charlie Smith) starting who will be assisting you with managing your training programme – but only for the London office. Because of this, you would add Charlie to the "London" team. Since teams are hierarchical, doing this provides Charlie with access to the London team and all of the teams nested beneath it.
Alternatively, you might only want Charlie to assist with users within the London Accounts team. In that case, you would assign Charlie to the "London - Accounts" team and their view would be restricted to just the users within that specific team.
How to access the Teams settings
To access the Teams settings:
- Log into your Nimble LMS 2.
- From the main menu on the left of the screen, select Account settings.
- Select Teams settings.
Adding a team
- Select the Add team button.
- Enter a name for your team.
- If you want to nest the team beneath an existing one (creating a subteam), select it from the Nest under (optional) dropdown.
- Select the Add button.
- Read and confirm you are happy with your changes and then select the Confirm button.
How to edit an existing team
- Select the 3-dot button next to the team you would like to edit.
- Select Update.
How to delete an existing team
- Select the 3-dot button next to the team you would like to delete.
- Select Delete.
- Read and confirm you are happy with your changes and then select the Confirm button. Deleting a team is permanent: You can't restore a deleted team and Nimble aren't able to restore the team for you - so be sure you really want to do it!
