This feature can result in data loss if not used with caution, and could result in a course and/or it's results being deleted that you weren't intending. Because of that, it is not available as standard and access to it can only be obtained by request to your Customer Success Manager.
Introduction
Sometimes you may have a need to replace an existing course with a copy of another course.
e.g. Perhaps you have a master course you've updated, and would like to use to update differently branded copies of the course, that learners are already enrolled on.
This article will show you how you can do that.
Things to know beforehand
- This process is not reversible. When you overwrite a course, the data for that course will be lost. It will not be possible to undo this, even if you contact our Support team.
- You can overwrite one course (the destination) using another published course (the source)
- When the destination course is overwritten, it will:
- retain any existing enrolments.
- retain any existing 'status: completed' results.
- retain any existing learner results with 'status: not started'
The destination course will not retain:
- any analytics for any learners
- results for any learners with 'status: started'. These learners will have their results reset and become 'status: not started'. - The source course you're using to overwrite is automatically deleted.
- When the source course is deleted, you will lose all enrolments and results associated with that course
- We are unable to restore courses that have been deleted
NOTE: Because of this you may wish to duplicate your source course, and use that copy to overwrite your destination course.
How to overwrite a course
For the course you want to replace (we'll call this the destination):
- In the course list in the LMS click on the course Settings button
for the course you want to overwrite.
- On the course settings page Click the Overwrite course button.
- From the dropdown select the course (we'll call this the source) that you want to use to replace the destination.
- Click the Continue button - don't worry, this will give you a preview page so you can review the effect the overwrite will have, before you finally confirm if you want to go ahead with it.
- Review the summary report to see what effect the overwrite will have. Here's an example:
NOTE: A reminder that your source course and any enrolments and results associated with it will be deleted if you complete the overwrite process. - If you're happy with the report, and for your source course to be deleted, click Continue to complete the overwrite. Alternatively you can click Cancel to cancel the whole process.
- If you clicked continue you'll get an 'Are you sure' popup, asking you to confirm. Type in the word "overwrite" (without the quotation marks), then click the Confirm button.
You'll be returned to the course list.
The destination course should now look like the source course, but still retain the learners that were enrolled on the original destination course.
The source course will have been deleted, along with any enrolments and results for it.
