In this article we will teach you how to add new learners and assign them to client(s), if your account has Client Management enabled.
Client Management adds another level of permissions to your account, which allows you to separate your learners, on your site, into Client(s), or Department groups, and have site Administrators who can only access information and perform activities, for the learners and courses assigned specifically to them.
Adding new learners with Client Management
You can add learners before, or after you set up clients, as you can assign multiple learners to a
client at the same time.
If you are importing new learners, you should add clients before importing these learners - see Adding New Clients, then follow the steps below.
1. Navigate to Import Learners page, by clicking on the 'Learners' button on the homepage, followed by the 'Learners' tab:

2. You will be taken to the import learners page to upload your CSV file:
3. Click on the button to upload the CSV file that has all the required learner data within it. We suggest you use the CSV template option below this button
, alternatively you can create your own, following the exact requirements as outlined in the description. If you use the template, make sure to leave the first row in place, so starting from the second row replacing the example, and do not add any extra columns.
Please note: add all learners that need to be assigned to the same client within one CSV file - do not mix clients’ learners in the same CSV file.
Assign all learners in CSV file to a Client
You can assign all the learners in that CSV file to one client - click the dropdown against 'Client':
and choose the desired client:
Please note: if the file contains learners that need to be assigned to a different client - do not use this option!
Another option in the Import Learners page is to assign learners to a learner group. Please be
aware that this is not the same as a client. Learner groups do not restrict access to these
learners and learners’ results, (so learner groups will be seen by all clients, unless you have restricted visibility from the client administrators. You can assign learners to both clients and learner groups at the same time).
4. To assign learners to a learner group, either enter a new group by typing a desired name for the group, or selecting one of the available groups, if you have previously entered these - alternatively, see here instructions to set up learners groups.
5. Click the button to import your learners.
6. The next page displays the learners that will be imported - these are listed as either 'successful' or 'unsuccessful':
If listed under 'successful', these learners will be imported once 'confirm' is clicked. If listed under 'unsuccessful':
these learners will not be imported once 'confirm' is clicked - learners will usually appear in this list if they already exist on the account with the same email address, the same email address cannot be used on multiple learners, each learner must have a new unique email address, or if there is an error within their email address; such as a rogue character not recognised by the system.

8. The learner(s) that were successfully imported will be displayed:
Any listed as unsuccessful will not have been imported and will need to be remedied before trying to manually add them or import again.
Assign and manage learners to Clients
You can assign learners to clients by selecting the learner(s) in question, then drag and drop them into the client (folder) to which you want to them assigned, (the folders on the left are the clients for this domain). Please note: you can only assign a learner to ONE client.
1. Go to Clients Page by clicking on the 'Clients' tab - you can find the 'Clients' tab under 'Settings' tab:
2. Click on the 'Manage learners' button:
A list of clients are displayed down the left hand side within folders. Any learners on the account, are also displayed:
By default, these learners are within the 'All' clients folder. You can drag and drop them into any other client, by clicking the , and dragging and dropping them into one of the other client folders. Please note: you can move more than one learner at a time either by individually putting a tick into the
against the learners name(s), or selecting the
above the learner list, to move all learners lists. Pages default to listing 25 learners at a time, so if you have more than this, you can select the dropdown;
to increase the number showed per page.
3. Then click on the client folder you have moved the learners into, to see them listed:
Please note: you can assign a learner to a client in the Manage Learners page, or in the learner settings, accessible on the Learners page – using the cogs setting for that learner:
4. Within their profile scroll down to 'client', click the dropdown to select the desired client from the available options:
5. Click button to retain any changes made.
