In this article, we'll explain how to archive users who no longer require active access to the system, such as employees who have left the business or are on extended leave. We'll also explain how to restore archived users should they need access to their training again in the future.
Top tips before you begin
- Archiving vs moving to the bin: Archiving is a great way to remove access without losing data. When a user is archived, their training history and results remain visible in the learning archive, ensuring you maintain a complete audit trail.
- Access restrictions: Once a user is archived, they cannot sign in to the platform.
- Enrolment impacts: If the archived user is a learner, they cannot be enrolled on new courses or have existing courses reset. This also applies to automated renewals, which will not trigger for archived users.
How to archive and restore users
Archiving users
To archive a user and remove their access while retaining their data, follow these steps:
- Log into your Nimble LMS 2.
- From the menu on the left of the screen, select Users.
- Use the filters or search bar to locate the user(s) you wish to archive.
- Tick the checkbox(es) next to the relevant user(s).
- From the Options drop-down menu, select Archive.
- Read the summary provided and select the Confirm button to proceed. The users have now been successfully archived.
Restoring users
If an archived user returns to the business or requires access again, you can easily reactivate their account:
- Navigate to the Users area in your LMS.
- Select Archive from the menu to view your list of archived users.
- Tick the checkbox next to the user(s) you would like to restore.
- From the Options drop-down menu, select Restore.
- Read the summary and select the Confirm button to proceed. The users have now been restored and can access the system again.
