In this article, we'll guide you through the process of removing users who no longer need an account, how to recover them if you've made a mistake, and how to permanently remove their data from the system.
Top tips before you begin
- Archive vs Delete: Before you proceed, consider if you might need the user's data in the future. Deleting a user removes their training records. If you simply want to remove their access but keep their training history for your audit trail, we strongly recommend you Archive the user instead.
- The 30-day safety net: When you delete a user, they are first moved to the Bin. They remain there for 30 days before being automatically and permanently deleted. During this 30-day window, you can restore them with all their records intact.
- Permanent means permanent: Once a user is permanently deleted (either manually from the bin or after the 30-day period elapses), they cannot be restored. Neither you nor the Nimble support team can recover these records from backups. Once it's gone, it's gone.
How to delete and restore users
Moving users to the bin
To remove a user from your active list, you must first move them to the bin. This begins the 30-day countdown to permanent deletion.
- Log into your Nimble LMS 2.
- From the menu on the left of the screen, select Users.
- Use the filters or search bar to find the user(s) you would like to remove.
- Tick the checkbox(es) next to the user(s) you would like to delete.
- From the Options drop-down menu, select Move to bin.
- Read the summary provided and select the Confirm button to proceed. The user(s) have now been moved to the bin.
Restoring users from the bin
If you have moved a user to the bin in error, or if they require access again within the 30-day window, you can restore them easily.
- Navigate to the Users area.
- Select Bin from the menu to view users currently in the bin.
- Tick the checkbox next to the user(s) you would like to restore.
- From the Options drop-down menu, select Restore.
- Read the summary and select the Confirm button to proceed. The users have now been restored.
Permanently deleting users
If you need to remove a user's data immediately (for example, to comply with a GDPR "Right to be Forgotten" request) and do not wish to wait for the 30-day auto-deletion, you can manually delete them from the bin.
Warning: Please be absolutely certain before proceeding. Performing the steps below will permanently erase the user and all associated training records immediately. This action cannot be undone by you or Nimble.
- Navigate to the Users area.
- Select Bin from the menu.
- Tick the checkbox(es) next to the user(s) you would like to permanently delete.
- From the Options drop-down menu, select Permanently delete.
- Read the summary and select the Confirm button to proceed. The users have now been permanently deleted from the system.
