In Nimble LMS 2, roles define what a user can see and do within your account. This article breaks down the available roles to help you decide how to distribute responsibilities across your team.
Top tips before you begin
- Everyone is a Learner by default: When you add a new user, they are automatically assigned the 'Learner' role. If you are creating an administrator who does not need to take courses themselves, you can manually disable the Learner role for their account.
- One admin role per user: A user can be a Learner and an Admin, but they cannot hold two different admin types simultaneously (e.g., a user cannot be both a 'Course Admin' and a 'User Admin').
- Teams restrict visibility: For most admin roles, being part of a Team restricts what they can see. If an admin is added to a Team, they will only see users and courses associated with that Team. If they remain outside of any Teams, they will have a global view of all data.
The impact of Teams on roles
Before assigning roles, it is important to understand how the Teams feature changes what an admin can do. Teams are used to restrict the data an admin has access to.
- Admins in a Team: If you add a User Admin, Course Admin, Learner Admin, Enrolment Admin, or Results Reviewer to a Team, they effectively become a "Department Admin". They will only see users, courses, and reports relevant to their specific Team (and any sub-teams).
- Admins not in a Team: If these admins are not assigned to a Team, they can see and manage all users and courses across the entire organisation.
- Account Admins: This restriction does not apply to Account Admins. Even if added to a Team, an Account Admin can always see all data in the LMS.

Account Admin
The Account Admin is the primary administrator for your organisation. This is the highest level of access within a customer account. The very first user on your account is always an Account Admin, and they have the ability to appoint other Account Admins.
They hold the keys to the kingdom, managing the overall training environment, including global settings, branding, and high-level user management. Importantly, an Account Admin is never restricted by Teams and will always have full visibility of the entire LMS.
Who is this for?
Typically assigned to a senior HR Director, Head of Learning & Development, or the primary stakeholder responsible for the LMS implementation.
User Admin
The User Admin focuses on people management. Their primary goal is to ensure the right people are in the system and organised correctly. While they have broad permissions to add and delete users, they cannot modify high-level account settings like branding.
Who is this for?
Ideal for HR Managers or Team Leaders who need to manage staff accounts and teams.
Course Admin
Course Admins are your content creators. They have full control over the learning materials but limited control over the people. They can use Nimble Author to build courses, manage SCORM files, and organise the course catalogue.
Who is this for?
Designed for Instructional Designers, Trainers, or Subject Matter Experts (SMEs) responsible for building and maintaining your training catalogue.
Learner Admin
A Learner Admin is dedicated to managing learners. Unlike the Course Admin (who manages content), the Learner Admin manages the people taking that content. They ensure learner profiles are up to date and that users are organised into the correct teams.
Who is this for?
Suitable for Training Coordinators or HR Administrators who handle the administrative side of staff onboarding and data management.
Enrolment Admin
The Enrolment Admin has a specific operational focus: getting people onto courses. They cannot create new users or new courses, but they can connect the two. Their role is vital for maintaining compliance by ensuring existing staff are enrolled on the correct training modules.
Who is this for?
Great for Department Managers or Team Leads who need to assign training to their direct reports but do not need to manage system data or content.
Results Reviewer
This is an oversight role designed for monitoring and auditing. A Results Reviewer cannot change content, add users, or enrol anyone. They strictly have "read-only" access to the data, allowing them to verify compliance and track progress without the risk of accidentally changing system settings.
Who is this for?
Perfect for Compliance Officers, External Auditors, or Senior Management who wish to view high-level stats without interacting with the LMS functions.
Learner
The Learner is the end user of Nimble LMS 2. This role is strictly for taking training. Learners interact with the platform to complete courses, earn certificates, and view their own history. They have no visibility of the backend administration area.
Who is this for?
All employees, contractors, or volunteers who need to complete training.
