In this article, we’ll teach you how to archive some (or all) of your learners existing results via unenrolling or resetting their enrolments on a course. You might want to do this if your course is related to compliance and you need your learners to retake the course on an annual basis, and want to retain each years results.
Important note: Unenrolling and resetting learners from a course will delete learners results from the system for that course unless you archive them, (should you need archiving enabled please contact your Customer Success Manager). For more information on archiving see how to unenrol learners from a course and/or how to reset learners’ results from a course for why you may wish to do either of these. If you’re doing this for the first time, it's advisable to ensure that you’ve exported any results that you may need to keep, so you have a backup should anything need to be reinstated. Once you've done that, follow the process below.
Setting up archive folders
To add archive folders for archiving learners’ results for a course:
- From the Nimble LMS home screen, click the Learners button.
2. Click the Enrolments tab. The enrolments page shows all your course enrolments in one easily viewed place.
3. Click the option.
4. Click the option to enter a title for the folder.
5. Enter a title for your new archive folder.
- Click the
option to confirm your title. The Archive folder will have been successfully added.
If you need to amend the title of your folder at any time, click the button and enter your new title, then click the
option to confirm.
Archiving learners' results from a course via unenrol
Important note: Unenrolling learners from a course will also delete their results from the system unless you archive. If you’re doing this for the first time, it's advisable to ensure that you’ve exported any learners' results that you may need to keep as a backup backup before progressing.
To unenrol learners' results from a course and archive existing results:
- From the Nimble LMS home screen, click the Learners button.
- Click the Enrolments tab. The enrolments page shows all your course enrolments in one easily viewed place.
- Click the
option next to the folder you’d like to unenrol your learners from.
- Click the
button.
- Use the filters to locate the learners you’d like to unenrol from the course and place a
in the checkbox next to them
- Click the
button.
- Use the summary to double-check the unenrolments you’re about to make. Click the dropdown against the Archive selection and select the folder where you want the results to be saved.
- Click the
button once you’re happy with the changes you're about to make.
- Finalise your changes by typing unenrol into the box and clicking the
button. Super – you’ve unenrolled your learners from the course and archived their previous results.
Archiving learners' results from a course via reset
Important note: Resetting learners on a course will also delete their results from the system unless you archive. If you’re doing this for the first time, it's advisable to ensure that you’ve exported any learners' results that you may need to keep as a backup before progressing.
To reset learners’ results from a course and archive the existing results:
- From the Nimble LMS home screen, click the Learners button.
2. Click the Enrolments tab. The enrolments page shows all your course enrolments in one easily viewed place.
- Click the
option next to the folder you’d like to reset results for.
- Click the
button.
- Use the filters to locate the learners whose results you’d like to reset and place a
in the checkbox next to them.
- Click the
button.
- Use the summary to double-check the changes you’re about to make and if you’d like to notify your learners that their results are being reset, place a
in the Send email checkbox. Click the dropdown against the Archive selection and select the desired folder where you want the results to be saved.
- Click the
button once you’re happy.
- Finalise your changes by typing reset into the box and clicking the
button. Super – you’ve reset your learners’ previous results on the course.
