In this article, we’ll teach you how to set up and send automatic email reminders to learners, which will help prompt them to complete any outstanding course(s) they are enrolled onto, as well as if confirming they have completed their course(s), if you choose to.
Setting up and sending automatic reminder emails to learners
Important note: Automatic email reminders must be enabled on your course(s) BEFORE you enrol your learners.
Once enabled, it is does not work retrospectively for existing learners that had already been enrolled onto the course(s) - you would need to unenrol and re-enrol these existing learners from the course(s) for them to receive these automatic email reminders - see How to unenrol learners from a course.
Your learners will also only receive these automated email reminders if on enrolment, you selected the 'Send email' option on the enrolment page when you enrolled your learner(s) - see How to enrol on a folder and/or How to enrol learners onto courses using the enrolment wizard
To set up the automatic email reminders for courses to send to learners:
- From the Nimble LMS home screen, click the Courses button.
2. From the Nimble LMS home screen, click the button next to the course that you want to set the reminders for.
3. Scroll down to the bottom of the page until you come to the automatic reminders section.
4. You will see the following options:
- Course not completed – a first not completed reminder for learners who haven’t completed their courses.
- Course not competed – a second not completed reminder for learners who still haven’t completed their courses.
- Course completed – a smashing way of thanking learners for completing their courses.
The first two dropdown options; 'Course not completed' have the same timescales, that can be selected, these are as follows:
- 1 day
- 1 week
- 2 weeks
- 3 weeks
- 1 month
- 2 months
- 3 months
- 6 months
- 11 months
- 1 year
- 14 months
The last dropdown option; 'Course completed' has either the choose of being:
- -not enabled- or,
- Enabled
5. Select the dropdown against each of the options you wish to set, and choose the required timescale, as well as whether you want the 'Course completed' option to be enabled or not.
6. Once you've made your selections scroll to the bottom of the page and click the button.
Please note: The first and second 'Course not completed' automatic email reminders that will be sent to your learners, will both have the same wording, and look like the following example:
The 'Course completed' automatic email reminder (should you choose to enable this), that will be sent to your learner(s), will look like the following example:
Please note: Once you have set the reminders, these emails get put into a queue and will be sent at the desired time. However, if you decide to deactivate the automated email reminders by removing the selections from the course(s), or reset the enrolment for the learners, these scheduled emails are still sent to the learners email address - you will need to contact: support@nimble-elearning.com and request for these to be deleted, and removed from the schedule.
If learners are unenrolled, deleted, or the course(s) are deleted, the automated email reminders for learners, are removed from the queue and will not be sent.
To deactivate automatic email reminders from learners course enrolments
- From the Nimble LMS home screen, click the Courses button.
2. From the Nimble LMS home screen, click the button next to the relevant course title that you want to deactivate the previously set automatic email reminders from.
3. Scroll down to the bottom of the page until you come to the automatic email reminders section.
4. Click on each of the relevant dropdowns and select the option.
5. Once you've made your selections scroll to the bottom of the page and click the button.
Please note: As previously mentioned, deactivating the automated email reminders doesn't automatically remove these scheduled emails and they will still be sent to the learners email addresses - you will need to contact: support@nimble-elearning.com and request for these to be deleted and removed from the schedule.
